Booking Terms & Conditions
Last updated: September 2026
Welcome to JoyBound Adventures.
We create fully supported, small-group trail-running trips. Our goal is simple: you arrive ready to run, explore, and enjoy the place; we take care of the planned logistics. Outdoor travel still comes with variables. Weather, trail conditions, transportation, permits, local partners, and group needs can change what is possible on a particular day.
These Booking Terms & Conditions explain what you can expect from JoyBound Adventures and what we need from you. Please read them carefully. They are legally binding once we accept your booking.
Key definitions
Company, JoyBound Adventures, we, us, or our. JoyWynn Journeys LLC, doing business as JoyBound Adventures.
Traveler, participant, you, or your. Each person named on a booking or participating in a Trip.
Trip. The JoyBound Adventures itinerary, departure, tour, or travel experience identified in your booking confirmation.
Trip Details. The itinerary, inclusions, exclusions, activity level, packing guidance, and any special terms provided for your specific Trip.
Primary Contact. The person who creates or manages a booking for more than one Traveler.
Departure Date. The scheduled first day of the Trip.
1. Your agreement with JoyBound Adventures
Your agreement includes these Terms, your booking confirmation, the Trip Details, and any written special terms that apply to your departure. You may also be required to accept a separate Participant Agreement and Release, medical authorization, supplier terms, and media preference form. If written special terms conflict with these general Terms, the special terms control for that booking.
Every adult Traveler must review and accept these Terms individually. A Primary Contact may manage payments, changes, and cancellation communications for the group, but cannot sign another adult's personal release, medical authorization, or media consent.
The version in effect when we confirm your booking applies to that Trip. If you later use a credit to make a new booking, the terms in effect when the new booking is confirmed will apply.
2. Booking and confirmation
Submitting a registration or payment is a request to book, not an automatic acceptance. A binding booking is created when we receive the required payment and send you written confirmation. We may decline a booking before confirmation and will return any payment we received if we do.
Unless the Trip Details state otherwise, the deposit is 30% of the total Trip price per person. Private trips, custom departures, and certain supplier-dependent services may have different deposit or payment terms, which we will disclose before you book.
30-day risk-free booking
You may cancel in writing within 30 calendar days after we confirm your booking and receive a full refund, provided we receive the cancellation at least 91 days before the Departure Date. This benefit does not apply to a booking made 90 or fewer days before departure, a booking paid with a Trip credit, or any nonrefundable third-party service identified before purchase.
3. Prices and payment
Prices are stated in U.S. dollars unless we say otherwise. We accept the payment methods shown at checkout or on your invoice. Any card or payment-processing fee will be displayed before you authorize payment.
The remaining balance is due 90 days before the Departure Date. If you book 90 or fewer days before departure, the full Trip price is due when you book. If payment is late, we may cancel the booking after written notice; the cancellation charges in Section 4 will apply.
Advertised prices may change until we confirm your booking. Discounts or promotions offered later are not retroactive and may have separate terms. After confirmation, we may pass through a new government tax, permit charge, transportation surcharge, or extraordinary supplier increase outside our reasonable control. We will not impose this type of surcharge within 60 days of departure. If permitted surcharges increase your confirmed Trip price by more than 10%, you may cancel within 14 days after notice and receive a refund of amounts paid.
4. If you cancel
Tell us in writing using the contact information in your booking confirmation. Your cancellation is effective when we receive it. Notices received after 5:00 p.m. Pacific Time are treated as received on the next business day.
Cancellation charges are calculated as a percentage of the total confirmed booking price, including room supplements and prepaid add-ons, but excluding separately purchased insurance. We will refund any amount paid above the applicable charge to the original payment method, generally within 15 business days.
Cancellation charge
- 91+ days before departure and eligible for the 30-day risk-free benefit
- No charge; all amounts paid are refunded
- 61+ days before departure and not eligible for the risk-free benefit
- 30% of the total booking price
- 31-60 days before departure
- 50% of the total booking price
- 0-30 days before departure
- 100% of the total booking price; no refund
If one Traveler cancels from a shared booking, the price or room arrangement for the remaining Travelers may change. Any resulting single-occupancy charge or supplier cost will be explained before it is added.
5. Trip credits and booking changes
If you cancel 61 or more days before departure and do not qualify for the 30-day risk-free refund, you may choose a JoyBound Adventures Trip credit instead of a cash refund. The credit will equal 100% of the amount you have paid for the cancelled booking.
- The credit must be applied to a new booking within 12 months after the original Departure Date, and the new Trip must depart within 24 months after that date.
- A credit may be rebooked once, is not redeemable for cash, and is not transferable to another person without our written approval.
- The new Trip is subject to availability and its current price. You must pay any price difference. Any unused credit remains available until its original expiration date.
- Credits issued because JoyBound Adventures cancels or materially changes a Trip may have different written terms.
We will try to accommodate requested date, room, or itinerary changes when operationally possible. A request made 90 or fewer days before departure may be treated as a cancellation and new booking. You are responsible for supplier charges, permit costs, and any administrative fee disclosed before we process the change.
6. Late arrival, no-show, early departure, and unused services
We do not provide refunds or credits if you do not join the Trip, arrive after it begins, leave early, choose not to use an included service, or are removed under Section 15. If you miss the start, we may try to help you rejoin the group, but we cannot guarantee that it will be possible. Any additional transportation, lodging, meals, or other costs are yours.
7. If JoyBound Adventures cancels
Some departures require a minimum group size. If we cancel because that minimum has not been met, we will normally notify you at least 60 days before departure. You may choose a full refund of amounts paid, a credit for those amounts, or an available alternative JoyBound Adventures departure. Do not purchase nonrefundable transportation until we tell you that your Trip is confirmed to operate.
If we cancel for an operational reason that is within our reasonable control, we will offer a full refund or an available alternative. These remedies do not cover incidental expenses such as airfare, visas, vaccinations, equipment, insurance premiums, or additional lodging.
8. Events outside anyone's reasonable control
A Force Majeure Event is an event beyond the reasonable control of JoyBound Adventures, the Traveler, or our suppliers that makes a Trip unsafe, unlawful, impracticable, or materially different. Examples include severe weather, wildfire, flood, earthquake, epidemic or public-health emergency, war, terrorism, civil unrest, government action, border or park closure, permit cancellation, strike, major transportation disruption, or failure of essential utilities or communications.
Before departure, we may cancel, postpone, or materially change a Trip because of a Force Majeure Event. We will work in good faith to recover supplier payments. Depending on what our suppliers make available, we will offer a full or partial credit, or a refund of the amount recovered after deducting reasonable, documented costs that cannot be recovered. When both a credit and refund are available, you may choose between them.
After departure, we may change routes, services, accommodations, transportation, or the length of the Trip. We will use reasonable efforts to provide suitable alternatives. No refund is due for services already used. Any refund or credit for an unused portion depends on amounts we can recover from suppliers. We are not responsible for incidental or consequential expenses caused by the event.
9. Itinerary flexibility
A JoyBound Adventures itinerary describes the experience we plan to provide; it is not a guarantee that every route, mileage target, activity, accommodation, meal, guide, or transportation detail will occur exactly as described. Trail conditions, weather, permits, supplier availability, local conditions, and the group's safety or pace may require changes.
Our Head Guide may shorten, reroute, substitute, or cancel a run or activity when reasonably necessary for safety or responsible Trip operation. We may also substitute comparable lodging, transportation, guides, meals, or activities. Reasonable changes do not create a right to a refund. If we make a significant change before departure for a reason within our control, we will offer an appropriate alternative, credit, or refund for the affected portion.
10. What is included - and what is not
Your Trip Details and booking confirmation are the controlling list of inclusions and exclusions.
Usually included when listed in the Trip Details
- Accommodations and planned ground transportation
- Meals, organized runs, sightseeing, and activities specifically marked as included
- Pre-trip guidance and the services of JoyBound Adventures trip leaders
- Any internal flight, permit, transfer, recovery service, or merchandise specifically identified as included
Not included unless the Trip Details say otherwise
- Transportation to the Trip start or from the Trip finish
- Passports, visas, vaccinations, travel insurance, medical care, rescue, or evacuation
- Alcohol, optional activities, gratuities, baggage charges, personal gear, and personal expenses
- Costs caused by personal schedule changes, late arrival, early departure, airline disruption, or failure to meet entry requirements
Room type and occupancy are as shown in your confirmation. Special requests are not guaranteed. If a shared-room Traveler cancels, the remaining Traveler may be responsible for a single-occupancy supplement.
11. Information we need from you
You must provide accurate, complete, and timely information needed to operate your Trip. This may include your legal name as shown on travel documents, date of birth, contact information, emergency contact, passport information, dietary needs, relevant allergies or health conditions, running experience, typical pace, and other information identified in the Trip Details.
Tell us promptly if this information changes. We may be unable to confirm or safely operate your booking if required information is missing. Any supplier charge or loss caused by late, incomplete, or inaccurate information is your responsibility.
12. Health, fitness, and reasonable accommodations
Choose a Trip that matches your current fitness, trail experience, and comfort with the stated terrain, distance, elevation, altitude, climate, and remoteness. Review the Trip Details, train appropriately, bring the required gear, and ask us questions before booking if you are unsure.
Disclose any physical or mental health condition, injury, disability, allergy, medication need, or other circumstance that could affect your safe participation, require accommodation, or materially affect the group. You must update us if a condition develops or changes after booking. We may request a health form or medical clearance when reasonably necessary.
We welcome accommodation requests and will make reasonable efforts to help. Trail terrain, remote locations, supplier facilities, and local transportation may limit what we can provide. Contact us before booking whenever possible so we can have an honest conversation about the Trip.
If we reasonably determine that you cannot participate safely, we may offer an alternative activity, require additional support at your expense, or decline or end your participation. Refunds in that situation follow the applicable cancellation terms unless the law requires otherwise.
13. Required travel insurance
Every Traveler must maintain travel insurance for the full Trip period that covers emergency medical treatment, emergency evacuation, and repatriation at limits appropriate for the destination and activities. Any minimum limits or destination-specific requirements will appear in the Trip Details.
We strongly recommend coverage for Trip cancellation and interruption, travel delay, missed connections, baggage, and the nonrefundable cost of your entire travel plan. A decision not to purchase cancellation coverage does not create an exception to these Terms.
Provide the insurer's name, policy number, and 24-hour emergency contact information no later than 30 days before departure, or promptly after booking if you book later. Simply declining insurance is not a waiver of the medical, evacuation, and repatriation requirement. If you do not provide acceptable proof, we may treat the booking as cancelled by you.
14. Passports, visas, health rules, and entry requirements
You are responsible for the documents and requirements that apply to every destination and transit country on your itinerary, including passports, visas, permits, vaccinations, testing, and customs or immigration rules. Names on your booking and transportation documents must match your official identification. Some destinations require passport validity beyond the Trip dates. We are not responsible for denied boarding, denied entry, or related costs caused by missing or noncompliant documents.
15. Your responsibilities on the Trip
Our guides balance individual goals with the safety and experience of the group. The Head Guide has final operational authority regarding routes, pace, equipment, weather decisions, transportation, and participation in a run or activity.
- Follow reasonable safety instructions and stay within the route, pace, regrouping, and equipment expectations set by the guide.
- Treat other Travelers, guides, suppliers, local communities, and the places we visit with respect. Harassment, threats, abusive conduct, or material disruption are not acceptable.
- Comply with local laws, customs, land-manager rules, and environmental practices, including Leave No Trace expectations.
- Do not participate while impaired in a way that creates a safety risk, and do not possess or use illegal substances.
- Take reasonable care of accommodations, vehicles, rental equipment, and other property.
If your conduct, condition, pace, or refusal to follow instructions creates a material risk or seriously affects the group, the Head Guide may restrict an activity or require you to leave the Trip. You are responsible for the resulting transportation, lodging, medical, or other costs, and no refund is due.
16. Trail-running risks and emergency care
Trail running and adventure travel involve risks that cannot be eliminated. These may include slips and falls; uneven, steep, exposed, wet, icy, or unstable terrain; altitude; heat, cold, storms, wildfire, smoke, flooding, water crossings, and falling objects; wildlife, insects, plants, and communicable disease; traffic and transportation; equipment failure; fatigue, dehydration, illness, and injury; actions of other people; limited communications; and delayed or unavailable rescue or medical care in remote areas.
You choose to participate with an understanding of these inherent risks. Before departure, every Traveler must sign JoyBound Adventures' separate Participant Agreement and Release, which contains the detailed assumption-of-risk, release, and emergency-medical authorization provisions applicable to the Trip. Refusing to sign may result in cancellation under Section 4.
If you cannot make decisions during an emergency, you authorize JoyBound Adventures and its suppliers to seek transportation, first aid, evacuation, or medical treatment they reasonably believe is necessary. You are responsible for those costs and for pursuing reimbursement from your insurer.
17. Travelers under 18
Our Trips are designed primarily for adults. A Traveler under 18 may participate only when the specific Trip permits it and JoyBound Adventures approves the booking. A parent or legal guardian must complete the booking, accompany the minor unless we approve another arrangement in writing, and sign the required minor waiver, medical authorization, and media preference form. The guardian remains responsible for the minor's supervision and conduct.
18. Independent suppliers and optional activities
We work with accommodations, transportation providers, local guides, activity operators, restaurants, and other independent suppliers. We select and coordinate suppliers with reasonable care, but they control their own personnel, equipment, and operations. Their services may be subject to separate terms and local law.
An optional activity that is not included in the Trip price is a separate arrangement between you and the activity provider, even if a JoyBound Adventures guide helps with information or logistics. Decide whether it is appropriate for you and review the provider's terms before participating.
19. Photography, video, and promotional use
Photography and video may occur during a Trip. Unless you opt out as described below, by accepting these Terms you give JoyBound Adventures permission to record you and use your image, likeness, voice, and comments you knowingly make on camera to promote JoyBound Adventures and its Trips. We may reasonably edit and use this content in print, online, social media, email, advertising, and other promotional materials. You will not receive payment and waive the right to inspect or approve the finished content. To the fullest extent permitted by law, you release JoyBound Adventures and anyone acting on our behalf from claims arising from uses permitted by this section.
Promotional use is optional and opting out will not affect your ability to travel with us. To opt out, notify us in writing before departure and remind the Head Guide at the beginning of the Trip. We will make reasonable efforts not to intentionally photograph, record, or feature you. You may also withdraw permission later, and we will stop new promotional uses after a reasonable processing period. Materials already published, printed, or distributed do not need to be removed.
Because Trips take place in shared or public spaces, we cannot guarantee that you will never appear incidentally in a group or background image. We also cannot control content captured independently by other travelers or members of the public. JoyBound Adventures will not use artificial intelligence to create a synthetic version of your likeness or voice—or imply an endorsement you did not make—without your separate written permission.
20. Privacy
We use personal information to evaluate and manage bookings, coordinate suppliers, support safety and emergency response, process payments, communicate with you, comply with law, and operate our business. We may share the minimum information reasonably needed with guides, suppliers, payment providers, insurers, emergency responders, professional advisers, and authorities.
We handle personal information under the Privacy Policy posted on our website. Marketing communications are subject to your communication preferences and applicable law. A Primary Contact who gives us another person's information must have permission to do so and must direct that person to our Privacy Policy.
21. Concerns and complaints
If something is not right during your Trip, tell the Head Guide or JoyBound Adventures as soon as reasonably possible so we have a fair opportunity to help. If the concern is not resolved, send us a written description and supporting information within 30 days after the Trip ends using the contact information in your booking confirmation.
22. Responsibility and limits
Nothing in these Terms excludes or limits a right or remedy that cannot lawfully be excluded. Subject to that rule, JoyBound Adventures is responsible for direct loss caused by our breach of these Terms or our failure to use reasonable care. We are not responsible for loss caused by your acts or omissions, an independent supplier outside our reasonable control, or a Force Majeure Event, except to the extent the law makes us responsible.
To the fullest extent permitted by law, we are not liable for indirect, incidental, special, or consequential loss, including lost income, lost opportunity, or loss of enjoyment, or for expenses not included in the confirmed Trip price. The separate Participant Agreement and Release governs activity-related injury, illness, death, evacuation, and property claims.
You are responsible for loss or damage you intentionally or recklessly cause to people or property and for reasonable costs arising from your material violation of these Terms.
23. Governing law and resolving disputes
If a dispute arises, the parties will first try in good faith to resolve it directly for at least 30 days after written notice, unless immediate court relief is reasonably necessary. These Terms are governed by the laws of the State of Washington, without regard to conflict-of-law principles, while preserving any consumer protection that applicable law does not allow you to waive.
To the extent permitted by law, any court proceeding must be brought in the state or federal courts serving the county where JoyWynn Journeys LLC maintains its principal office. Either party may bring an eligible matter in small-claims court.
24. General terms
These Terms and the documents incorporated in Section 1 are the entire agreement for your booking and replace earlier discussions about the same subject. A change is binding only if it is in writing and accepted by the party against whom it is enforced, except that we may update future booking terms by posting a new effective date.
If a provision is unenforceable, it will be narrowed or removed only as much as necessary, and the remaining provisions will continue. A delay in enforcing a right is not a waiver. You may not assign or transfer your booking or rights without our written approval. We may assign our rights and obligations as part of a merger, reorganization, sale, or transfer of the business, provided your material booking rights are not reduced.
Notices may be sent electronically to the contact information associated with the booking. Electronic acceptance, payment authorization, and signatures have the same effect as paper records and signatures to the extent permitted by law. Section headings are for convenience and do not change the meaning of these Terms.
25. Traveler acknowledgement
By accepting electronically, paying the required booking amount, or signing below, I confirm that I have read and understand these Booking Terms & Conditions. I understand that the itinerary may change, that trail-running travel involves inherent risks, and that I must separately complete JoyBound Adventures' Participant Agreement and Release and provide the required insurance information. I agree to comply with the Trip Details and reasonable guide instructions.
